Give patients an easy booking option—without opening up your entire schedule

Now available with Advanced Clinic Booking, Ocean’s One-Time Booking Links feature allow clinics to invite a specific patient to book a specific type of appointment within a timeframe they control. Each secure link can only be used once and automatically closes after the patient books.

Ideally suited for specialist clinics, this means patients can self-schedule a single appointment after a referral has been reviewed and accepted. And for primary care and multidisciplinary teams, it creates a more controlled way to coordinate follow-ups and preventive care.

Traditional online booking works great when clinics want to offer patients ongoing access to available appointments. However, there are many situations where a clinic may only want to make an appointment available to a particular patient.

With One-Time Booking Links, the clinic decides who can book, which appointment options they can access and how long the invitation remains available. The patient can then select a time that works for them from the availability the clinic has approved. Once the appointment is booked, the link automatically closes and cannot be reused. If circumstances change before the patient books, clinic staff can deactivate the link.

Clinics can also use templates to customize and streamline the email that accompanies the invitation, to make sure patients receive clear instructions. Patients get the convenience of choosing their own appointment time, while clinics maintain control over access to their schedules.

Powerful new option for specialist and referral-based booking

One-Time Booking Links are especially valuable for specialist and referral-based practices since they may only see a patient after their referral has been reviewed and accepted.

The option to send a link is available directly within the referral scheduling panel. Staff can invite the patient to book without leaving the referral and can easily see whether the invitation is still active or if an appointment has been booked.

If the referral is later declined or cancelled, any active One-Time Booking Links associated with it are automatically deactivated.

This helps clinics move accepted referrals into scheduled appointments faster, reduce phone tag and avoid giving patients unrestricted access while keeping the referral and booking process connected within Ocean.

Although One-Time Booking Links are a strong fit for referral workflows, they can also support a range of booking needs across primary care, specialty care and multidisciplinary clinics.

Follow-ups and next steps in care

Invite patients to book the next stage of their care after a consultation, assessment, procedure or previous appointment. Instead of asking the patient to call back, you can provide them with the options from the start.

Preventive and chronic care

Use One-Time Booking Links to invite selected patients to book screenings, immunizations, chronic disease check-ins or other proactive care. This provides a way to reach the right patients without making the appointment available to your entire roster.

Limited or targeted services

Offer controlled access to services that are only available to certain patients or during a specific period, like a one-day screening clinic. This could also include dedicated clinics, care programs, procedures or appointment type with limited capacity.
